The Solution Hub ("TSH", "we", "us") provides immigration and career services to newcomers to Canada. This policy explains how we handle personal information, and in particular how our internal tool, TSH Cold Email, accesses and uses Google (Gmail) user data. Using our mobile app? Cookies & website analytics
On our public website (thesolutionhub.ca) we use Google Analytics 4 to understand how many people visit, which pages they view, where they arrive from, and their general location and device type. This is measured in aggregate to help us improve the site. We do not use it to identify you personally, and Google Analytics 4 does not store your full IP address.
We apply Google Consent Mode: analytics cookies are only stored if you choose “Accept” on the cookie banner shown on your first visit. If you choose “Decline”, no analytics cookies are set. You can change your choice at any time by clearing this site’s cookies in your browser, install Google’s Analytics Opt-out Browser Add-on, or read how Google handles this data in the Google Privacy Policy.
About TSH Cold Email
TSH Cold Email helps our enrolled job-seeking clients reach employers. With the client's explicit consent given during onboarding, the tool sends personalized job-application emails from the client's own Gmail account and detects employer replies so the client and their job coach can respond promptly.
Google account data we access
When a client connects their Gmail, we request three permissions:
- Send email (
gmail.send) is used to send job-application emails from the client's Gmail to the employers they are applying to. - Read email (
gmail.readonly) is used solely to read the message threads started by emails our tool sent, in order to detect employer replies. We identify these threads by the thread IDs of messages we sent. We do not browse, search, or read any other messages in the mailbox. - Basic account identity (
userinfo.email) is used only to identify which Gmail address the client connected, so we send from and monitor the correct account. We do not use it for any other purpose.
How we use Google user data
Google user data is used only to provide the user-facing features above: sending the client's applications and surfacing employer replies to the client and their assigned job coach. We do not use Google user data for advertising, and we do not sell it.
Sharing and transfer
We do not transfer Google user data to third parties except: (a) service providers that operate our platform (for example, cloud hosting and database providers) under confidentiality obligations; (b) where required by law; or (c) as part of a merger or acquisition, with notice to affected users.
Human access
Our staff (the client's job coach) may read the content of detected reply threads in order to help the client respond. This is a prominent, user-facing feature the client consents to. We do not otherwise permit humans to read Google user data, except where necessary for security, to comply with applicable law, or where the data has been aggregated and anonymized.
Storage, retention, and deletion
We store only the data needed to operate the service, on secured infrastructure with access limited to authorized staff. Employer reply content is retained only as long as needed to provide the service. When a client disconnects their Google account or asks us to delete their data (Info@thesolutionhub.ca), we delete the stored Gmail-derived data within 30 days. Clients may revoke our access at any time at myaccount.google.com/permissions.
Limited Use disclosure
The Solution Hub's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
